Privacy Policy

How Innovar Legacy Media collects, uses, protects and lets you control your personal information, in line with POPIA.

1. Introduction

Innovar Legacy Media (“Innovar”, “we”, “us”, “our”) is committed to protecting your privacy. This Privacy Policy explains what personal information we collect, why we collect it, how we use and protect it, and the rights you have over it. It is prepared to comply with South Africa’s Protection of Personal Information Act 4 of 2013 (“POPIA”) and, where relevant, the Electronic Communications and Transactions Act 25 of 2002 (“ECT Act”).

This policy applies to visitors of www.innovarlegacymedia.co.za (the “Website”) and to individuals who engage Innovar for AV technical event production, equipment rental, boardroom or venue AV integration, or related services.

Under POPIA, Innovar is the “responsible party” for personal information processed through the Website and in the course of providing our services.

3. Information Officer

Innovar’s Information Officer is responsible for POPIA compliance and can be contacted at service@innovarlegacymedia.co.za, marked “Attention: Information Officer.” The Information Officer is Felix Ssekatawa, Managing Director.

4. What personal information we collect

Depending on how you interact with us, we may collect:

  • Contact details: full name, company name, job title or department, email address, phone number, and preferred contact method.
  • Enquiry and event details you provide through our quote or contact forms: event type and date(s), venue or city, audience size, services or equipment required, budget range, deadlines, and free-text descriptions of your requirements (for example event description, technical concerns, or issue description fields).
  • Files you choose to upload, such as event briefs, floor plans or technical documents, on forms that support attachments.
  • Communications you send us by email, WhatsApp, or phone, and records of that correspondence.
  • Limited technical information such as the page you arrived from and campaign parameters, captured via your browser’s session storage to help us understand which marketing channel led to your enquiry (see our Cookie Policy for detail).

We do not knowingly collect special personal information (such as health, biometric, or similarly sensitive data as defined by POPIA) through the Website. Please do not include this kind of information in free-text fields unless it is directly relevant to your enquiry (for example, an accessibility requirement for an event) and you consent to us processing it for that purpose.

5. How we collect it

  • Directly from you, when you complete a form on the Website (including our Request a Quote, Equipment Rental Request, Boardroom AV Assessment, Support Request, Contact, or resource download forms), email us, message us on WhatsApp, or speak to us by phone.
  • Automatically, via your browser’s session storage, limited to the marketing-attribution data described in Section 4 (see our Cookie Policy for how this works).

6. Why we process your information

  • To respond to your enquiry and prepare a quotation or proposal, as a step you request before entering into an agreement with us.
  • To perform our contract with you once you engage our services, including planning, delivering and supporting your event, rental, or installed AV system.
  • To communicate with you about your enquiry, booking or project.
  • To keep business records for accounting, tax and legal compliance purposes.
  • With your consent, to send you planning resources you request (such as our Event AV Planning Checklist) or, where you separately agree, occasional updates about our services. You may withdraw this consent at any time — see Section 10.
  • To improve the Website and our services, using aggregated or de-identified information where possible.

7. Is providing your information mandatory?

Providing your name and email address is required for us to respond to a quote or contact request. Other details (such as phone number, company, budget, or timelines) are optional, but help us respond accurately and quickly. If required fields are left blank, we may be unable to process your enquiry.

8. Who we share your information with

We do not sell your personal information. We may share it with:

  • Innovar staff and subcontractors or technical crew directly involved in delivering your event or project, strictly on a need-to-know basis.
  • Venue partners or third-party suppliers where necessary to coordinate your event (for example, confirming access, power, or rigging requirements), limited to the details relevant to that coordination.
  • Our email and hosting service providers, who process data on our behalf solely to operate the Website and deliver enquiry notifications.
  • Professional advisers, such as auditors or legal counsel, where reasonably required.
  • Regulators, law enforcement, or other parties where required by law, or to establish, exercise or defend a legal claim.

As at the date of this policy, enquiry and lead information is stored within our own website systems and has not yet been connected to an external CRM. If we adopt a third-party CRM or marketing platform in future, we will update this policy before doing so.

9. Cross-border transfers

Our Website and email systems may be hosted or processed using infrastructure located outside South Africa. Where this involves transferring personal information across borders, we take reasonably practicable steps to ensure the recipient is subject to a law, binding corporate rules, or agreement that provides a level of protection substantially similar to POPIA’s conditions, in line with POPIA section 72.

10. Direct marketing

We will only send you direct marketing communications, such as newsletters or promotional updates, where you have opted in, or where POPIA’s limited exception for existing customers applies (and, even then, only about our own similar services). You can opt out at any time using the unsubscribe link in any marketing email, or by emailing service@innovarlegacymedia.co.za.

11. Security safeguards

We take reasonably practicable technical and organisational measures to protect personal information against loss, unauthorised access, interference, or disclosure, including access controls, secure hosting, and restricting lead and enquiry data to authorised staff. No system is completely secure. If we become aware of a security compromise that is likely to have compromised your personal information, we will notify the Information Regulator and affected data subjects as required by POPIA.

12. How long we keep your information

We keep personal information only for as long as necessary for the purpose it was collected for, including any legal, accounting or reporting requirement (for example, records relevant to a signed service agreement are typically kept for the periods required by South African tax and companies legislation). Enquiries that do not result in a booking are retained for a reasonable period to allow follow-up, after which they are deleted or anonymised. You may request earlier deletion under Section 13.

13. Your rights

Subject to POPIA, you have the right to:

  • be notified that your personal information is being collected, and for what purpose;
  • access the personal information we hold about you;
  • request correction or updating of inaccurate, outdated, incomplete or misleading information;
  • request that we delete or destroy personal information we no longer have authority to retain;
  • object, on reasonable grounds, to the processing of your personal information;
  • object to processing for the purpose of direct marketing;
  • not be subject to a decision based solely on automated processing that significantly affects you — we do not currently use automated decision-making of this kind; and
  • submit a complaint to the Information Regulator if you believe we have processed your personal information unlawfully.

To exercise any of these rights, contact us at service@innovarlegacymedia.co.za, marked “Attention: Information Officer.” We will respond within a reasonable time and, where required, within any timeframe prescribed by POPIA.

If you are not satisfied with how we have handled your personal information, you may lodge a complaint with the Information Regulator (South Africa):

16. Children’s information

Our services are intended for businesses and individuals over the age of 18. We do not knowingly collect personal information from children as defined by POPIA. If you believe a child has provided us with personal information, please contact us so we can delete it.

17. Changes to this policy

We may update this Privacy Policy from time to time to reflect changes in our practices or the law. The “last updated” date at the top of this page reflects the most recent revision. Material changes will be highlighted on this page.
